Balance Due Payment Reminders

When do these reminders apply?

  • The reservation is confirmed or marked confirmed

  • The guest has a remaining balance to pay

  • The host has not marked the reservation as paid

  • The guest has NOT agreed to automatic payment. This is the one that catches people out. If your guest agreed to auto-pay when they booked, Houfy charges their card on the due date instead of chasing them, so none of the reminders below are sent. That is working as intended - you will see the payment, not a reminder.

  • Check-in has not already passed

Reminder Schedule:

Each reminder only goes out if the one before it did, so the chain stops as soon as the balance is settled.

  1. Balance Due Reminder — On the payment due date

Sent to the guest on the day the payment is due, reminding them to complete their payment.

  1. Follow-up Reminder — 3 days after the due date

If the balance is still unpaid, a follow-up email is sent to the guest.

  1. Last Follow-up Reminder — 7 days after the due date

If the balance remains unpaid, both the guest and host are notified.

  1. Pre-Check-in Reminder — 7 days before check-in

Both the guest and host receive a reminder that the balance is still outstanding with check-in approaching.

  1. Final Reminder — 1 day before check-in

A final reminder is sent to both the guest and host the day before check-in.


What stops the reminders?

The guest completes the payment.

The host marks the reservation as paid.

The reservation is cancelled.

The host is included starting from the last follow-up reminder so they are aware of any outstanding balance
