View Square Credit Card Transactions on Square Dashboard

A Houfy payment appears in Square as an eCommerce Integrations transaction with no guest name. Use the Reference ID to find the reservation, and expect Houfy add-ons to be charged separately.

When a guest pays through Houfy, the money lands in your Square account as an eCommerce Integrations transaction. It looks different from a Square email invoice, and the differences catch hosts out. Here is what Square shows you, and how to tie a transaction back to a Houfy reservation.

Find your Houfy transactions in Square

  1. Sign in to your Square Dashboard.

  2. In the left panel, click Transactions.

  3. Use the filters to narrow the report by date range, and by location if you have more than one.

If you run several properties and have given each one its own Square business location, the location name on a transaction tells you which property it belongs to. Only transactions for locations that actually took money in the period will appear.

How a Houfy payment looks in Square

Source: eCommerce Integrations. A payment you took through Houfy shows this as its source. A Square email invoice shows Invoices instead. This is the quickest way to tell the two apart in a mixed report.

Paid by: Unknown Name. Houfy does not send the guest's name with the payment, and there is no guest name anywhere in the transaction detail. On a Square email invoice you would see the guest.

A single Custom Amount. Houfy does not send Square a line-item breakdown, so rent, cleaning, fees and taxes are not split out the way they are on a Square invoice. That breakdown lives on the Houfy reservation.

The reservation code in Reference ID. This is the value that identifies the booking, and it is what you use to find it.

A note beginning code=RESCODE,id=LISTINGID, where the listing id is your Houfy listing number.

Tie a transaction back to a reservation

Click the transaction to open its detail panel, copy the reservation code from Reference ID, and look it up in Houfy. The Houfy reservation gives you the guest, the dates and the full price breakdown that Square does not carry.

Refunds

A refund you issued through Houfy also shows eCommerce Integrations as its source, and records the original payment it came from. As with payments, the row itself does not say which guest or reservation it belongs to, so open the detail and use the reservation code.

Why the Square amount can be less than the Houfy total

If your guest bought a Houfy add-on such as damage protection, Refundable Reservations or CheckinHero, or your listing carries the 5% API connection fee, Houfy charges that amount to the guest's card as a separate payment into Houfy's own Square account. It will not appear in your Square dashboard at all. The difference between the reservation total in Houfy and the amount you see in Square is that platform charge, not a missing payment.

What Square charges you

The transaction detail shows the amount transferred to your bank account and the fee Square deducted. That fee is the same whether the payment came through Houfy's integration or through a Square email invoice.
