How to Connect HostTools to Houfy

This article shows you how to connect your HostTools account to Houfy.You will learn how to link your listings, choose what to sync, and make sure you can accept payments.

HostTools is a pricing tool, not a channel manager. Once connected it pushes your nightly rates to listings you already have on Houfy. It does not create listings on Houfy. Each push also carries availability for the dates it covers - a date HostTools marks unavailable is blocked on your Houfy calendar, and an available one is opened - together with minimum stay and check-in/check-out days. Whether that is enough to protect you from double bookings depends on what HostTools itself is syncing from your other channels - ask HostTools what it pushes for your account.

What syncs, and what does not. HostTools reads your Houfy calendar prices, availability, minimum stay and check-in/check-out dates, and pushes back nightly rates, availability, minimum stay and check-in/check-out days for the dates in each push. Nothing else moves: taxes and cleaning fees, listing content (photos, amenities, house rules and descriptions), guest messages, Instant Book settings and maximum stay all stay where they are — only minimum stay syncs. The connection is free; Houfy charges nothing to connect or use HostTools. Accept, decline and confirm bookings on Houfy rather than in HostTools — a booking you confirm on Houfy will reach HostTools, but Houfy does not push it - HostTools reads your reservations when it next polls Houfy, so the delay is set by HostTools’ own sync schedule.

Before you start

  1. Make sure you have a HostTools account.

  2. Set up at least one listing in HostTools.

  3. Make sure you can log in to your Houfy account.

  4. Have your Stripe, Square, or other payment method details ready, so guests can book and pay.

Steps

  1. Log in to HostTools Open your browser and go to the HostTools website. Log in to your HostTools account. Check that at least one property is set up and active.

  2. Log in to Houfy Open a new tab in your browser. Go to houfy.com. Click Log in and sign in to your Houfy account.

  3. Go to Software Partners in Houfy At the top, click Manage Listings. In the side menu, click Software Partners.

  4. Copy your Houfy connection token Find HostTools in the list of partners. Click Copy Token. This copies a special connection code to your clipboard.

  5. Open the Integrations page in HostTools Go back to your HostTools tab. In HostTools, go to the Integrations or Connected apps section. Look for Houfy in the list.

  6. Paste your Houfy token into HostTools Click on Houfy in HostTools. Click into the field that asks for your Houfy token or API key. Right-click and choose Paste, or press Ctrl + V (Windows) or Command + V (Mac). Click Save or Connect.

  7. Return to houfy. You will now see HostTools on your Software Partners page. It will not appear straight away: HostTools shows as Connected only once it has actually pushed rates. The card reads Connected with a Last sync time while a push has been logged in the last two days. After two days without a push it turns Inactive with a "Disconnected on" date - that date is the last successful push, not a real disconnection, so do not rebuild the connection over it - and after seven days without a push the card leaves Connected Accounts altogether and moves back to Connect an Account - reconnect from inside HostTools if that happens.

    There is no import or mapping step for HostTools. The Manage button, and the import and mapping choice it opens, render only for channel managers — not for pricing tools like HostTools.

  8. Wait for your first calendar sync Once connected, HostTools will begin pushing your nightly rates and availability to Houfy. The first sync may take a short time. Check your Houfy calendar after a little while to confirm the rates - and the open and blocked dates - look the way you expect.

  9. Enable payments on Houfy In Houfy, click Manage Listings. Select the listing you connected. Go to Connected payments (or Payments). Click Connect payment method. Follow the steps to connect your Stripe, Square, or other supported payment method. Repeat for other listings, if needed.

  10. Test your connected listing

  11. Open your listing on Houfy as if you were a guest.

  12. Make sure the calendar looks correct.

  13. Click through the booking process (you do not have to complete payment) to confirm it works.

Troubleshooting

  • I don’t see HostTools in Software Partners Make sure you are logged into the correct Houfy account. Check under Manage Listings → Software Partners. If you still do not see it, contact Houfy Support.

  • My rates are not updating on Houfy Wait a little while. The first sync can take some time. Refresh your browser page. Check that the listing is still connected in both HostTools and Houfy. If it still does not update, disconnect from inside HostTools and connect again — there is no disconnect button for HostTools on Houfy. If the issue prevails reach out to info@houfy.com

  • I clicked “Mark as Confirmed” by mistake “Mark as Confirmed” is for bookings where you handled payment outside of Houfy. If you clicked this by mistake, click send a payment link, and contact your guest if needed.

Can I import my listings from HostTools to Houfy? No. HostTools does not create listings on Houfy. Create the listing on Houfy yourself, then connect HostTools to push rates to it.Can I connect listings that already exist on Houfy? Yes — that is the only way it works. Create the listing on Houfy first, then HostTools pushes its rates to it.Do guests pay Houfy or me? Guests pay you directly through your connected payment processor (for example, Stripe or Square) or your own off-platform method. Houfy does not handle your rental funds.

Can I connect PriceLabs or Hostex to the same listing? No. A Houfy listing can be connected to only one of HostTools, PriceLabs or Hostex at a time. Connecting a second one to the same listing replaces the first without warning.

How do I stop the connection completely? HostTools cannot be disconnected from inside Houfy - there is no Manage button and no remove option for it. Remove it in HostTools, or go to Menu > Settings & Privacy > API Access Token and click Regenerate. Regenerating cuts off every app still using the old token, so re-paste the new one anywhere else you use it.

When does a booking I confirm on Houfy reach HostTools? Houfy does not push it. HostTools reads your reservations when it next polls Houfy, so the delay is set by HostTools’ own sync schedule, not by Houfy.
